By now, one of the team should have been in touch with you for a bit more detail on what we can do.

To help us plan how we will realise your vision, please provide as much detail as you currently can to any relevant questions below.

If you’re unable to answer anything or it isn’t relevant to your needs then the question can be skipped.

Is there a contact at the venue that we can liasie with regarding any requirements or information?

When will we have access to the event space??

Will access to set up the day before be possible?

Are there any access restrictions, e.g. escorts, codes, stairs etc.

Does the venue have security staff or a check in that we need to speak to on arrival?

Will someone be present at the venue during set up?

What time can they be available from?

Are you able to share a photograph of the space?

Do you have a plan for the layout of the space?

Do you have any specific camera angles in mind?

Will a table and chair be available for our equipment if necessary?

Where are any windows in the room located in respect of where any presenters or screens will be, and are there blinds or curtains that can be closed?

Is there a secure space where we can store our equipment?

If our equipment is in place prior to the event starting, is the room able to be locked when not in use?

Is parking available at the venue?

If no parking is available, is there a safe are to drop off equipment?

Does the venue require proof of insurance of PAT certificates?

Will power be available (240v) and where are the sockets located?

Is an internet connection available?

Are we able to connect via ethernet or only by Wi-Fi

Is the Wi-Fi connection available to us secure/password protected or a public connection?

What is the Wi-Fi password?

Do we need to contact anyone on-site to activate the internet connection?

Are there any internet limits in place, for example speed or usage caps?

Ports 80 and 1935 will need to be open on the networks firewall. Will this be a problem?

Will there be any presenters or speakers?

How many will there be?

Will a sound system be in use for presenters and any media?

Where will any speakers be positioned in the room?

Will there be a sound desk we can take a feed from?

Please provide details of any inputs/outputs or the name or model of the desk

Where will the sound desk be positioned within the room?

Will microphones be provided by the venue?

Will any speaking be done from the same position or will a roaming mic be in use?

Will someone be present to setup and manage the audio? If so, what time will they be arriving?

What lighting will be used in the space?

Will any additional lighting be required?

Will any screens be in use during the event?

What will be displayed on the screen(s)? E.g. will there be presentations shown or just a static image?

How many will there be and where will they be positioned?

Are we able to output to the screen(s)? If so, will we need to plug directly into the screen or is an accessible port available elsewhere in the room?

What connections are available for input/output on the screen(s)?

If there are multiple screens, will they be showing the same or different feeds?

Will a way of splitting signals to or from the screen(s) be provided?

Do you require a confidence monitor for presenters?

Will there be any graphics used during the livestream? E.g. prior to the start or during breaks etc.

What platform would you like to use for the livestream? Are you open to using a different one?

If we are streaming to a platform or account owned by you, will we have access to necessary login information?

How many virtual attendees are you expecting?

Will it be a one way livestream or would you like any interaction from virtual attendees?

What form will this interaction take? E.g. Q&A sessions, live chat, being able to present to the room remotely etc.

Would you like a recording of the program (the feed as it is sent out live) or individual recordings from each camera?

If the chosen platform has built in recording capabilities (e.g. Zoom), would you like this recording as well?

If there are any Q&A sessions or live chat, would you like a copy to be saved of this?
